The Human Resources Department announces the
position of Secretary
II reporting to the Academic Department Head, Communication.
Responsibilities include: coordinates and performs administrative functions and
office work for the department head and for the Department of Communication;
under the supervision of the department head, prepares and distributes
confirmation letters and contracts for adjunct and part-time faculty; Assists
the department head in the hiring process of new faculty by scheduling
interviews, making travel arrangements and related activities; assists the department head with monitoring
the department’s budget. Maintains documentation for all departmental expenses;
answers students’ questions and, when needed, refers them to the appropriate
administrators, faculty and staff. Prepares forms and materials for the
department head’s and faculty members’ signature, including student waivers,
late class admits, grade change requests and independent/directed studies; assists the department head with ordering and
purchasing goods and services (e.g., prepares purchase orders and invoices,
maintains records of all departmental purchasing activities); assists in coordinating events related to
recruiting and retention, advising, student orientation, guests speakers,
professional and honorary society functions, conferences, workshops,
recognition ceremonies, advisory board meetings and other scheduled
departmental events. When needed, schedules facilities, orders and prepares
materials and mailings, acquires certificates, pins, honor cords, orders
equipment and food and attends functions; coordinates and attends Communication
department meetings. Prepares materials and provides secretarial support, when
needed; assists the department head and
Communication faculty in teaching-related activities, including ordering text
books and supplies, maintaining departmental syllabi, files and exams; supports the department’s and school’s
accreditations and Middle States accreditation-related activities, as needed;
makes travel arrangements for the department head and assists faculty members
with expense reporting, cash advances, purchase cards, when appropriate. Makes
travel arrangements for prospective new faculty and guest speakers. Prepares
spreadsheets documenting travel and related expenses for the department;
assists the department head in the processing of necessary materials for
teacher certification programs or other departmental or school programs; assists SCIS Administrators and secretaries,
as needed; performs other related work
Associate’s Degree or equivalent work experience.
Minimum of three (3) years of office/secretarial experience, preferably in higher education.
Proficient knowledge of computers, including Microsoft Office packages; ability and willingness to learn new software and technologies and grow academically as required.
Excellent oral, written and interpersonal skills; professional demeanor.
Understanding and commitment to maintaining confidentiality; ability to handle sensitive and confidential information, make independent judgments and pay attention to detail.
Ability to work independently and collaboratively with co-workers, students, faculty, administrators and staff, as well as external constituents.
Ability to work a flexible schedule; ability to work some evenings and weekends, as required.
